Who is responsible for your data

The controller of your personal data is Aleksander Szulc, conducting business as AIMOps, ul. Fabryczna 6, 53-609 Wrocław, Poland, tax identification number (NIP) 8943181048.

For anything concerning personal data, including the requests described below, write to contact@aimops.tech. There is no obligation to appoint a data protection officer for a business of this size, so no DPO has been appointed and your requests go straight to the controller.

What we collect and why

Contact form. Your name, email address, the content of your message and, if you choose to give it, your company name. The company field is optional and the form works without it. We use these details to reply to you and, if it comes to that, to agree the terms of working together. The legal basis is the performance of a contract or steps taken at your request before entering into one (Art. 6(1)(b) GDPR). If the conversation does not lead to a contract, we keep the correspondence on the basis of our legitimate interest in handling and evidencing business enquiries (Art. 6(1)(f) GDPR).

Server logs. Our hosting provider records standard technical data for every request: IP address, browser identification, the address requested and the time. These logs exist to keep the service running and secure, which is our legitimate interest (Art. 6(1)(f) GDPR). We do not use them to identify visitors and we do not combine them with form submissions.

Anti-bot protection. The contact form is protected by Cloudflare Turnstile, which checks whether the submission comes from a person rather than a script. It analyses technical signals from your browser for that single purpose. The legal basis is our legitimate interest in protecting the form against abuse (Art. 6(1)(f) GDPR). Without it the form would be unusable within days.

Traffic statistics. We use Cloudflare Web Analytics, which is cookieless and does not build a profile of you or follow you between sites. It reports aggregate numbers: how many people opened which page, roughly where the traffic came from and how fast the pages loaded. The legal basis is our legitimate interest in knowing whether the site works (Art. 6(1)(f) GDPR).

Cookies

We set no analytics, advertising or profiling cookies, which is why you are not being asked to click through a consent banner. Our statistics tool works without cookies, and the fonts used on the site are served from our own server rather than fetched from a third party while you browse.

The one exception is anti-bot protection: Cloudflare Turnstile may store a short-lived technical entry in your browser purely to confirm that a check has already been passed. Storage that is strictly necessary to deliver a function you asked for does not require your consent, and it is not used for tracking or advertising.

Who else sees the data

We do not sell personal data and we do not share it for anyone else's marketing. To run the site and answer your message we rely on service providers who process data on our instructions, under contracts required by Art. 28 GDPR:

• Resend, Inc. Delivers the message from the contact form as an email. Processing location: United States, delivery infrastructure in the EU (Ireland).
• Google Ireland Limited Hosts the mailbox the messages arrive in (Google Workspace). Processing location: Ireland, with support access from the United States.
• Render Services, Inc. Hosts the site and keeps technical server logs. Processing location: United States, servers in Frankfurt, Germany.
• Cloudflare, Inc. Protects the form against bots (Turnstile) and provides aggregate, cookieless traffic statistics. Processing location: United States, global network including the EU.

Beyond that, data may be disclosed to public authorities where the law requires it, and to our accountant and, if it ever became necessary, our legal advisers, where a contract has actually come about.

Transfers outside the European Economic Area

Some of the providers above are established in the United States, so your data may be transferred there. Such transfers take place on the basis of the European Commission's adequacy decision for the EU-US Data Privacy Framework where the provider participates in that framework, and otherwise on the basis of the European Commission's standard contractual clauses. You can ask us for information about the mechanism used by a specific provider.

How long we keep it

• Enquiries that lead nowhere: up to 12 months from the last message, then deleted.
• Enquiries that lead to working together: for the duration of the engagement, then for as long as claims can still be brought and for the retention period that tax and accounting law imposes on the documents concerned.
• Server logs: for the retention period applied by our hosting provider, which is short and measured in weeks rather than years.
• Traffic statistics: kept only in aggregate form, with no data that identifies you.

Your rights

You have the right to:

• be told what data we hold about you and get a copy of it
• have inaccurate data corrected
• have your data deleted
• have processing restricted
• receive the data you gave us in a portable format, or have it sent to another controller
• object to processing based on our legitimate interest, including the anti-bot check and the statistics described above

Write to contact@aimops.tech and we will respond within one month. If you think we are handling your data wrongly, you can also lodge a complaint with the Polish supervisory authority: Prezes Urzędu Ochrony Danych Osobowych, ul. Stawki 2, 00-193 Warszawa, uodo.gov.pl.

Automated decisions

We do not make decisions about you by automated means and we do not profile you. The anti-bot check decides whether a form submission is accepted, not anything about you as a person, and if it ever blocks you by mistake you can simply email us instead.

Is giving us your data required

No. Using the form is voluntary. Name, email address and message are needed only because without them we cannot reply. You can always write to us directly at contact@aimops.tech instead.

Changes to this policy

If we change the tools we use or the way we handle data, we update this page and the date at the top of it. Material changes affecting people we are already in contact with will be communicated by email.
